Logging in

Logging in is simply a matter of entering the correct credentials. Failure to enter either your email address or your password correctly will result in an error message. There are also preventative measures in place to ensure that multiple people cannot use the same credentials. If a user attempts to log in using the same credentials as another who is currently logged in then that user is presented with a warning message. This will also happen if the user currently logged in closes their browser on one machine without logging out correctly and then attempts to log in on a different machine. To correct this scenario, the user must log back in on the original machine and then log out using the 'Log out' button or the user must wait for the original session to time out. The session length is currently set to 20 minutes. This is a licencing security issue.

If other users are required to use the system concurrently then they will need access to different credentials. These credentials, providing a sufficient number of licences have been purchased, should be provided by your administrator.

What next? Once you have logged in you will be redirected to the COSHH assessments page. Here you can view available assessments, search and order by Material Code, Trade Name, Keyword or Supplier in order to find the required assessment.  Clicking on a assessment will automatically generate the latest assessment for that material and provide a PDF of it for you to print, e-mail or save locally to your computers hard drive.  Please note assessments with many activities (50+) will take around 30 seconds to generate.  In order to view an assessment it is required that you have a PDF reader such as Adobe Acrobat.

How to use the Assessment Search Facility  (back to the top)

The search facility in your user account allows for simple search parameters, searching on either Material Code, Name, or Supplier.  To search simply select which criteria you wish to search by and enter your search text followed by clicking "Search".

How to print an assessment  (back to the top)

Your assessments have been designed to always print correctly irrespective of the hardware (printers etc) used.  In order to print an assessment first select (as above) and allow it to generate.  Once the assessment is open you can just select file --> print.  Your assessment should print correctly.

How to use the 'My Assessments' facility  (back to the top)

Once you have logged in, you will have access to the 'My Assessments' facility which can be opened by clicking on the 'My Assessments' link.

This facility allows you to add assessments from the whole range of assessments in your personalised area. This will aid you in quickly locating assessments you use regularly.

To add a new assessment to 'My Assessments' simply check the assessments you use regularly (by clicking in the check box on the row of each assessment) and click the image that appears next to "you have selected xx assessments".

This will store these assessments for future reference in your "My Assessments".

GETTING INFORMATION

The following standard letters cite the relevant legislation with which suppliers and contractors have a duty to comply, regarding the provision of information. The letters are also included with the online COSHH management system as Microsoft Word documents.

TO CLIENTS or their CDM Co-ordinators

Dear Sir/Madam,
Re: name of substance
To comply with the Control of Substances Hazardous to Health Regulations 2002, we, as a matter of policy, review the materials we use in order to ascertain whether they represent a risk to health in use. If they do, the Health and Safety executive recommends that such materials be eliminated or substituted with a safer product if reasonably practicable. With respect to (*** name of product, site of use***), we should be grateful if you would advise us of the reasons for specifying this material. We understand that in certain circumstances, an alternative material (***name of product***) may be a satisfactory and safer alternative.

TO SUPPLIERS

Dear Sir/Madam,
Re: name of substance
To comply with the Control of Substances Hazardous to Health Regulations 2002, we are assessing the hazards to health which may be associated with the use of the above product(s). Our information is insufficient to make this assessment. In particular, we require details of any ingredients which appear in the approved list of the Chemicals (Hazard Information & Packaging for Supply) Regulations 2000. We would be grateful if you could provide us with the necessary information.

TO SUB-CONTRACTORS 

Dear Sir/Madam,
Re: name of substance
To comply fully with the Control of Substances Hazardous to Health Regulations 2002 (COSHH) we, as a matter of policy, require all sub-contractors working on sites under our control to submit suitable and sufficient assessments of any potentially hazardous substances to be used or encountered.
Please submit the relevant assessments to **** by (*** date). This is in addition to other information required to facilitate the development of the Health and Safety Plan as required by the CDM Regulations 2007.
